How to settle up after a group trip: a simple checklist

Add any missing expenses, choose one currency for the group, let everyone check the bill, work out one balance per person, and turn it into a short list of transfers. Then everyone sends their transfer the way they normally would. Do it within a few days of getting home.

The checklist

  1. Add what is missing. On the last day, check each person’s card app and wallet for anything not recorded: the airport coffee, the last taxi, tips.
  2. Replace estimates. If a card statement has arrived since, put in the amount actually charged in place of an estimate.
  3. Pick one currency. Everything is converted once into it. Choose the one most people can send and receive easily.
  4. Let everyone check the bill. Each person looks at the total and at the entries that involve them. One wrong entry is far easier to fix before money moves than after.
  5. Work out balances. For each person: what they paid for the group, minus what their shares add up to. A positive balance is owed to them, a negative one is owed by them.
  6. Turn balances into a short list of transfers. Instead of everyone paying everyone, take the person who owes the most and the person owed the most, transfer the smaller of the two amounts, and repeat. This usually gives a short list, though it is a simple method rather than a guarantee of the absolute minimum.
  7. Send the transfers. Each person sends their amounts by bank transfer or payment app, and marks them as paid so the group can see who is done.

When should we settle up after a trip?

As soon as the last expense is in, ideally within a few days. The longer it waits, the more details are forgotten and the more awkward it feels to ask.

Which currency should the final amounts be in?

Pick one that most people can send and receive easily, usually the home currency of the group, and convert everything into it once.

Does Trip Split move the money?

No. It works out who owes whom and how much, and everyone sends it the way they normally would, such as a bank transfer or a payment app.

What if someone disagrees with an entry?

Talk about that one entry, not the whole bill. Fix it, and the balances and transfers update from the original records.
