Road trip costs: how to split fuel, tolls and the rental car

Record the car rental, fuel and tolls as shared expenses, split equally between the people in the car, and decide in advance whether the driver pays a share of the fuel. Keep each person’s food and personal purchases separate. At the end, turn everyone’s balance into a short list of transfers.

What a road trip has that other trips do not

On a road trip a few large costs, the rental car, fuel and tolls, are paid by whoever happens to be driving or holding the card, while food and small purchases are paid by everyone. Without a record, it is easy for one person to end up carrying the car costs for the whole group, and for nobody to remember exactly how much.

A simple setup

Worked example

Four friends, Ana, Ben, Cleo and Dan, share a car. Ana books the rental for 480.00 and pays 30.00 of tolls in cash. Ben pays 90.00 for fuel. All three costs are shared equally by the four of them, a total of 600.00, so each person’s share is 150.00.

Ana paid 510.00, so she is owed 360.00 after her own share. Ben paid 90.00, so he owes 60.00. Cleo and Dan paid nothing, so each owes 150.00.

The short list of transfers is: Cleo sends Ana 150.00, Dan sends Ana 150.00, Ben sends Ana 60.00. Three transfers, and everyone is square.

If the driver does not pay for fuel

Many groups agree that the driver does not pay a share of the fuel. In that case, record the fuel as shared by the three passengers only. If Ben’s 90.00 of fuel is split between Ana, Cleo and Dan, each owes 30.00 and Ben does not. The key is to say it before the trip, and then record it the way you agreed.

Tolls and fuel in other currencies

If you cross a border, fuel and tolls will be paid in other currencies. Record each in the currency it was paid in, with how you paid, and let it be converted later. See cash or card: how to record each and how to split trip costs in different currencies.

To estimate the fuel before you go, use the trip gas cost calculator, or the trip cost calculator for the whole budget.

How Trip Split does this

Add the people in the car, record each cost as it happens by typing a sentence, saying it or photographing the receipt, and choose who shared it. It works offline, which helps on the road where signal comes and goes. At the end you get each person’s balance and a short list of transfers.

Common questions

Should the driver pay a share of the fuel?

That is for the group to decide. A common rule is that everyone in the car shares the fuel equally, including the driver. Another is that the driver does not pay a share as a thank-you. Whichever you choose, agree before the trip and record the fuel as shared by the right people.

How do I record tolls paid in cash?

Record the amount and mark it as cash. If the tolls are in another currency, they are converted using the payer’s own average rate for the cash they changed.

What if the car rental is paid in advance by one person?

Record it as one expense paid by that person and shared by everyone who will use the car. The others pay their share in the final transfers.

How do we split a road trip where people join and leave at different stops?

Record each expense against the people who were in the car or at the place when it was paid. Weighting by days or nights also works if people overlap for part of the trip.
